Compare the actual package before committing the week

This is a bounded comparison of four different relationships: a DOE laboratory internship, a CSHL research program, an advertising fellowship and a Navy research internship. Their checklists are not interchangeable. Source records were checked between September 16 and September 22, 2026; this article organizes those retained facts on September 26 without refreshing the employer clocks.

Application material dependencies in four named routes — source observations September 16–22, 2026
RouteMaterials established by the reviewed sourceOutside dependencySources
DOE SULIOnline fields; applicable undergraduate transcript PDFs; two support lettersLetters arrive through the SULI system by the term deadline
CSHL Undergraduate Research Program 2027One-page statement with 3,250-character maximum; two faculty recommendationsBoth letters are due with the completed application

Start with eligibility and the exact application route. A complete application can require a form, transcript, outside letters, essays, a video or a role-specific portfolio. A program page that does not publish an item is NOT_STATED here; it is not proof that the portal will never request it.

Treat transcript compliance as a separate task

SULI accepts specified official or unofficial transcript PDFs but rejects screenshots and degree audits. Its instructions require applicable prior-institution records and a current transcript accessed or printed no earlier than the application opening. Remove protected personal identifiers as the program directs, then reopen the PDF to verify that grades, institution and text remain legible.

MAIP’s reviewed FAQ asks for a PDF transcript. CSHL’s statement limit and faculty letters are prominent on its page; do not infer SULI’s PDF privacy rule applies to CSHL. Ask the exact program when a transfer record, unavailable grade or document format does not fit its instructions.

Request references before you consider the package ready

SULI requires two letters of support and permits requesting up to three; its reviewed instructions say only the first two completed in the system are included. CSHL requires two faculty letters and does not accept late letters after its January 15 application deadline. A recommender saying “yes” is not a submitted letter.

Choose people who know relevant work, send the program link and exact cutoff, and state what you hope they can discuss. Put an earlier personal reminder in your plan and check the portal’s received status. Do not send a letter yourself when the program requires a direct recommender upload.

Produce the requested evidence, not a generic enthusiasm package

CSHL’s personal statement has both a one-page boundary and a 3,250-character maximum including spaces. Use the explicit limit, then explain a research question, preparation and why the program’s lab setting fits. MAIP’s reviewed FAQ requests two essays and a two-to-three-minute video; a creative discipline can require additional work. These are different tasks and should be scheduled separately.

For either route, describe work you actually performed and its limits. A polished video does not compensate for missing answers, and a broad research-interest sentence does not replace the specific statement the program asks for. Check the live prompts before reusing an earlier draft.

Keep unstated fields unresolved until the exact portal answers them

NREIP’s reviewed program and FAQ discuss application review through academic background, research interests, statements and recommendations. Those public summaries are not a license to publish a universal essay length or separate recommendation cutoff. Open the current portal and write down the exact field constraints for your lab choices.

A pre-internship overview can be even less specific than a role application. Citi’s Early Identification page describes its three-week format and recurring application windows but does not supply one universal materials checklist or hard next-cycle closing date in the reviewed record. Do not move CSHL or MAIP requirements onto Citi.

Work backward from the program’s deadline and your slowest dependency

Separate three dates: the organizer’s published cutoff, your own target to finish the form, and the earlier date by which a recommender or transcript office must act. CSHL’s two faculty letters share the January 15 cutoff with the application. SULI’s Spring 2027 source cutoff is September 30 at 5 p.m. Eastern; the separate Summer 2027 key-dates source gives January 6 at 5 p.m. Eastern. Never copy one term’s date to another.

Before submitting, open the exact current page again, confirm the cycle and timezone, preview your files, and check whether every outside item shows received. An application submitted on time with missing required letters is not automatically complete.
