Use the current limit, not an old federal résumé template

USAJOBS states that agencies accept résumés of no more than two pages and that its system will not accept longer résumés. Its file limit is 5 MB. Check the announcement's instructions for the rest of the application; a transcript or writing sample is a separate document.

Do not solve a long résumé by shrinking everything until it is hard to read. Remove unrelated material, then preserve the facts that establish the qualifications for this particular announcement.

Find the actual qualification test

Read Requirements, Qualifications, Education, How You Will Be Evaluated and Required Documents. For each condition, identify where your application proves it. A job title alone does not explain your duties or level of responsibility.

Map the requirement to evidence
What the announcement needsWhere to make it visible
Current enrollment in an eligible programEducation entry and the requested enrollment or transcript document
Experience maintaining administrative recordsAn entry describing the records you maintained and how you checked them
A stated amount or level of experienceAccurate dates, weekly hours and responsibilities; not the title alone

This fictional mapping shows what that means. It is not a qualification ruling for a real announcement.

A complete experience-entry example

USAJOBS asks for employer, title, month-and-year dates, hours per week and descriptions of relevant work. Include series and grade for federal jobs only.

Original fictional entry:

Student Office Assistant — Example College, Student Services | September 2025–May 2026 | 12 hours per week

  • Maintained appointment records and checked missing fields against the office's intake checklist before sending exceptions to the supervisor.
  • Prepared a weekly summary of unresolved requests, grouped by the staff member responsible for the next step.
  • Updated booking records after approval and retained the confirmation used to make each change.

Keep the detail that makes the experience count

In the example, dates and weekly hours make the amount of work understandable; the bullets explain its substance. 'Managed office operations' would be shorter but much less informative. If your hours varied, describe them accurately rather than presenting your busiest week as the normal schedule.

Use relevant coursework, projects and volunteer work when they demonstrate the required preparation, with their actual labels. A project cannot establish a year of employment. Likewise, a strong experience section does not replace a transcript when the announcement requires one.

Prioritize the most relevant evidence on page one. Keep a longer personal record of your history so tailoring the submitted document does not cause you to lose useful detail for another application.

Finish the agency application, not just the résumé upload

Preview the exported document and confirm its page count. Then complete every step listed in How to Apply, including any agency questionnaire and required documents. Use the confirmation and status information to check that the application was received.

Before submitting, ask: can a reviewer locate each required qualification without guessing? If the answer is no, replace an unrelated bullet with the missing evidence. Never add a qualification you do not possess to make the wording match.
